Frequently Asked Questions About Document Shredding

Get answers to the most common questions about our shredding services, pricing, certifications, and how we keep your information secure.

Whether you are new to professional shredding or looking for a new provider, we have compiled answers to the questions we hear most often. If you do not find what you are looking for, contact us and we will be happy to help.

1 How does your on-site mobile shredding work?

Our mobile shredding truck comes directly to your location. A bonded, uniformed technician collects your documents and feeds them into the industrial shredder mounted on the truck. You can watch the entire process on a monitor from outside the vehicle.

The material is destroyed on-site so nothing sensitive ever leaves your property. When the job is complete, you receive an electronic Certificate of Destruction for your compliance records. The entire process typically takes just minutes, depending on volume.

2 What is a Certificate of Destruction?

A Certificate of Destruction (COD) is a formal document that verifies your records were securely destroyed. It includes the date, time, location, method of destruction, and the name of the technician who performed the service.

This document serves as proof of compliance for audits, regulatory requirements under HIPAA, FACTA, and Massachusetts law, and internal record-keeping. Valley Green Shredding provides an electronic Certificate of Destruction with every job at no additional charge.

3 What is NAID AAA Certification and why does it matter?

NAID AAA Certification is the highest standard for secure data destruction in North America, issued by the National Association for Information Destruction. Certified companies undergo rigorous scheduled and unannounced audits covering employee hiring practices, operational security, insurance, and destruction processes.

Choosing a NAID AAA Certified provider means your documents are destroyed according to the strictest industry standards, which helps you meet compliance requirements under HIPAA, FACTA, GLBA, and Massachusetts data protection laws. Valley Green Shredding has maintained NAID AAA Certification since its founding.

4 What types of documents should be shredded?

Any document containing personally identifiable information (PII), financial data, or confidential business information should be shredded. This includes bank statements, tax returns, medical records, employee files, client information, legal correspondence, insurance documents, pay stubs, expired IDs, and credit cards.

A good rule of thumb: if you would not want a stranger reading it, it should be shredded. For a more detailed list, visit our Why Shred? resource page.

5 Can you shred hard drives and electronic media?

Yes. Valley Green Shredding provides NAID AAA Certified hard drive and electronic media destruction. We physically destroy hard drives, solid-state drives (SSDs), backup tapes, USB drives, CDs, DVDs, and other storage media.

Physical destruction is the only way to guarantee data cannot be recovered. Simply deleting files or reformatting a drive leaves data recoverable with readily available tools. Each item is logged and you receive a detailed Certificate of Destruction listing serial numbers when available.

6 How much does document shredding cost?

Pricing depends on the type of service (on-site mobile, scheduled container, drop-off, or one-time purge), the volume of material, and the frequency of service. We offer competitive per-container and per-pound pricing with no hidden fees.

Secure locking containers are provided at no additional charge for scheduled service clients. We also offer bulk purge discounts for large cleanout projects. Contact us at (413) 461-3333 for a free, no-obligation quote tailored to your specific needs.

7 What happens to shredded paper after destruction?

100% of shredded paper is recycled into new paper products. After destruction, the shredded material is baled and sent to a recycling facility where it is processed into post-consumer recycled paper.

By choosing Valley Green Shredding, you are protecting sensitive information and supporting environmental sustainability. Our name reflects our commitment to green practices throughout the destruction and recycling process.

8 Do you provide secure containers?

Yes. We provide secure, locking shredding containers at no additional charge for scheduled service clients. Containers are available in multiple sizes to fit your office layout, from small desk-side consoles to large 96-gallon bins.

Each container has a locking slot that allows documents to be deposited but not retrieved, maintaining chain of custody until our technician arrives for service. We deliver, place, and maintain all containers as part of your service agreement.

9 How do I schedule a shredding service?

Scheduling is easy. Call us at (413) 461-3333 or use the contact form on our website. We can typically schedule service within one business day.

For recurring service, we will work with you to set up a regular schedule that fits your needs — weekly, bi-weekly, monthly, or on-call. We also accommodate one-time purge jobs and same-week service for urgent needs.

10 What areas do you serve?

Valley Green Shredding serves all of Western Massachusetts and surrounding areas, including Springfield, Westfield, Holyoke, Chicopee, Northampton, Amherst, Greenfield, Pittsfield, and the entire Pioneer Valley. We also serve parts of Connecticut and Vermont.

Contact us to confirm service availability in your area. Our mobile shredding trucks are on the road throughout the region every business day.

11 Is your shredding HIPAA compliant?

Yes. Valley Green Shredding is NAID AAA Certified, which meets and exceeds HIPAA requirements for the destruction of protected health information (PHI). Our employees are background-checked and bonded, our processes are audited regularly, and we provide a Certificate of Destruction with every job.

We can also sign a Business Associate Agreement (BAA) as required by HIPAA regulations. Many healthcare providers, dental offices, and insurance companies throughout Western Massachusetts trust us with their PHI destruction needs.

12 What is the difference between on-site and off-site shredding?

On-site (mobile) shredding means our truck comes to your location and destroys documents right in your parking lot. You can witness the entire process. This is ideal for organizations that require witnessed destruction or handle highly sensitive material.

Off-site shredding means documents are collected in secure, locked containers, transported by bonded personnel in GPS-tracked vehicles to our secure facility, and destroyed there. Both methods are NAID AAA Certified and include a Certificate of Destruction.

On-site shredding offers the added assurance of witnessed destruction, while off-site service can be more cost-effective for certain volumes. Learn more about our mobile on-site shredding service.
